Administrative Assistant Legal and Business Development


The Administrative Assistant, Legal and Business Development provides administrative support to

ensure efficient operation of the department.

 

 

This role will be perfect for you if:

  • You have a minimum of one-year Administrative assistant experience with a demonstrated ability to work autonomously to meet quality standards and deadlines.
  • You have excellent English communication skills both written and spoken.
  • You pay extra attention to details.

 

 

RESPONSIBILITIES 

  • Carries out administrative duties including but not limited to collect, track, file and maintain electronic or physical documents including the preparation of digitization of documents and communication of final documents to the appropriate stakeholder (internal/external clients)
  • Prepares, files, and organizes legal documentations, emails, and other correspondence in a timely manner.
  • Manages the process of documents signature after legal reviews and ensure follow up when required.
  • Manages the Chief Business Officer agenda and schedules internal or external meetings.
  • Takes in charge all administrative tasks related to client meeting including, ordering lunches, greetings clients.
  • Assists in administrative support for meeting by preparing the agendas, preparing, or reviewing presentation, taking the minutes, or coordinating attendances to meetings.
  • Ensure trackers are kept up to date and follow-up as needed.
  • Makes travel arrangements for the Sales and Marketing group such as booking flights, cars, and hotel or restaurant reservations.
  • Prepare and send documents by courier, as needed.
  • Supports team by performing tasks related to organization and strong communication.
  • Assist the Legal and Business Development team with other administrative duties as needed.

 

 

IDEAL PROFILE 

 

 

Education 

  • High School diploma, vocational studies or equivalent.

 

 

Experience 

  • Minimum of 2-year experience in an administrative role or 1 year with a College Degree.
  • Experience working in pharmaceutical and/or CRO environment will be considered as an asset.

 

 

Knowledge and skills 

  • Good communication skills in French and English (written and spoken)
  • Proficient level with Microsoft Office Suites
  • Demonstrate a good understand of the principles and processes for providing excellent customer service internally and externally.
  • Demonstrate proficient skills in priority and time management and a good ability to work on several tasks at the same time while remaining efficient.
  • High attention to details and bring a solution-oriented spirit to the team.
  • Interest in clinical research and business development support supported by a good adaptability and demonstration of autonomy in supporting the group.
