Project Management Administrative Assistant


The Project Management Administrative Assistant is responsible for providing support to the project management team for the management of clinical projects in accordance to GCPs, regulations and Innovaderm SOPs.

RESPONSABILITIES 

 

More specifically, the Project Management Administrative Assistant must:

  • Prepare materials including but not limited to correspondence, meeting agendas, meeting minutes, Excel spreadsheet creation and maintenance, etc.
  • Participate in the initial set-up of projects and in tracking progress of projects
  • Participate in project review meetings or governance calls with clients and prepare meeting minutes
  • Maintain documentation as related to the Project management department
  • Assist the project team in the preparation of reports and PowerPoint presentations
  • Assist the project team in the preparation of the Newsletter
  • Assist the project team in Microsoft Project files consolidation and other cross-study trackers maintenance
  • Assist the project team with lessons learned meeting documentation by creating a central repository and retrospectively enter data from power point presentations done in the past and study-specific lessons learned log
  • Assist project teams with the tracking of eTMF quarterly completeness reviews for each project
  • Provide support to the directors for the creation of contractor timesheet report to relevant agencies
  • Maintain list of pipeline and upcoming awards
  • Perform Quality Control activities by working in collaboration with Line Managers to ensure required tasks are completed per SOPs, e.g., monthly risk review meetings, accurate training files
  • Assist the VP in preparing Executive Committee presentations
  • Assist the Director Project Management Learning & Development in preparing onboarding training plan, sending meeting invite for training or any other administrative tasks required for onboarding and continuous training
  • Provide support to the directors and VP for the completion of expense reports.
  • Provide support to the directors and VP for all scheduling of meetings and travel arrangements 
  • Employee may be assigned to other responsibilities that do not pertain to their former description, if they have the required experience, are qualified and/or have received adequate training

 

PROFILE

 

Education

College degree in a relevant discipline or equivalent experience

 

Experience

  • Experience working in the biotechnology, pharmaceutical, and/or CRO industry environment an asset
  • 2 to 5 years’ experience as an administrative assistant or in a CRO industry (more specifically in Project Management group)

 

Knowledge and skills

  • Exceptional communication skills
  • Bilingual (English and French) with excellent oral and written skills
  • Ability to work in a team environment and establish good relationship with colleagues and sponsors
  • Excellent knowledge and competency in Word, Excel and Power Point
  • Ability to prioritize different assignments and work under pressure
  • Attention to detail and able to meet timelines
  • Quick learner, good adaptability and versatile
  • Strong organizational and problem-solving skills
  • Good knowledge of good clinical practices, and applicable Health Canada and Food and Drug Administration (FDA) regulations/guidelines, a strong asset
  • Excellent knowledge of Microsoft Office Suites
