Vendor Assistant


The Vendor Assistant (VA) works within the Vendor Management Office (VMO) to support and assist with vendor-related study and administrative tasks. The VA works in close collaboration with all Vendor Management Office (VMO) team members to support robust service and quality outputs of Innovaderm vendors and suppliers.  

 

This role will be perfect for you if:

RESPONSABILITIES

 

More specifically, the Vendor Assistant must:

  • Assist with consolidation and maintenance of repositories and information within the VMO information system (i.e., trackers, contacts, documents etc.)
  • Assist with building and testing reports and dashboards for the VMO information system
  • Support updating VMO communication tools (e.g. newsletters, website)
  • Support the preparation of VMO meeting slides
  • Organize and maintain the VMO generic email inbox, and SharePoint
  • Track VMO training material
  • Attend VMO meetings and assist in capturing minutes
  • Support VMO project lead tasks
  • Assist with tracking of study-specific vendor-related documents and versions
  • Assist with maintaining study files (eTMF), performing and documenting eTMF completeness reviews for vendor documents
  • Assist with retrieval of vendor reports from their portals
  • May assist with verification and tracking of vendor invoices
  • Support procurement activities, including assisting with informing vendors of opportunity updates, maintaining the VMO library of vendor documents (e.g. scorecards, MSAs, CDAs, annual risk/performance reports)
  • Participate in various administrative tasks, as required, to accomplish the goals and needs of the VMO     
  •  Support functional and/or corporate initiatives and special projects, as assigned
  •  VMO team member back-up for planned and unplanned absences, as assigned

 

REQUIREMENTS

 

Education

  • Relevant education in science or clinical research

 

Experience

  • Experience in clinical research, logistics and supply chain, and in biotechnology, pharmaceutical, and/or CRO industry is an asset

 

Skills and Knowledge

  • Proficient in English (oral and written).
  • Good knowledge and competency in Word, Excel, PowerPoint and SharePoint.
  • Ability to prioritize multiple assignments to meet deadlines.
  • Attention to detail.
  • Quick learner, good adaptability, versatile and creative.
  • Strong organizational, communication, problem-solving and multi-tasking skills.
  • Good knowledge of good clinical practices, and applicable Health Canada and Food and Drug Administration (FDA) regulations/guidelines.
