About The Position

Under the supervision of the Payroll Manager, the main mandate of the Payroll Specialist is to process time sheets and payroll on time and correctly, update payroll records, and respond to employee questions about payroll issues.

 

RESPONSIBILITIES

  • Process monthly international payrolls (Spain, Poland, Germany and other countries) and bi-weekly payroll for Canada and US.
  • Ensure databases are set up and up to date to reflect the current employee base, including new hires, terminations, changes in salary, benefits, commission, bonus, and other related issues.
  • Review and validate time sheets of all employees ensuring all information is complete and accurate.
  • Set up new hires in time tracking system and resolve any open tickets regarding non-billable pay codes.            
  • Verify sub-contractor status, rates and prepare monthly report for accounts payable for payment processing.
  • Review PEO invoices and reconcile the amounts quoted against time sheets and rates. Prepare journal entry for accounts payable.
  • Reconcile vacation hours taken between the HR Information System (HRIS) and Payroll System
  • Reconcile Group insurance invoice between Payroll System and Invoice.
  • Reconcile monthly all general ledgers related to payroll.
  • Prepare payroll journal entries to Accounting. Ex. payroll, vacation accrual
  • Manage the payroll inbox and provide exceptional customer service regarding payroll inquiries.
  • Communicate and actively partner with HR and Finance as needed on payroll related matters.
  • Support Payroll manager when required on projects.
  • Ensure compliance with company policy, government legislation, local tax laws, and be the subject matter expert for international payrolls.

Requirements

IDEAL PROFILE

 

Education 

  • College degree

 

Experience 

  • A minimum of 4 years experience processing payroll across multiple countries.
  • Excellent organizational and communication skills
  • Attention to detail, technically savvy.
  • Ability to manage confidential information.
  • Fluent in English and Spanish (verbal and written)
  • Analytical thinker with excellent problem-solving skills

 

Knowledge and skills

  • Demonstrated knowledge of international employment tax laws and regulations
  • Advanced knowledge of Excel
  • Knowledge of payroll software

Work location

This position is opened to candidates across Spain (home-based position).


Recruitment process: what to expect

  • As part of the recruitment process for this position you will meet various team members at Innovaderm
  • The first interview will be conducted by phone (20 minutes) and the second via video conference (1 hour)
  • The second interview includes a short presentation for which reasonable advance preparation is required (preparation is not timed and can be completed over a few days).
